Project Manager - Brand Activations & Visual Merchandising

We're on the hunt for an experienced Project Manager - Brand Activations & VM to join our team in Sydney. You'll lead the end-to-end delivery of premium activations across our client portfolio - managing internal and external teams, stakeholders, budgets and timelines to deliver exceptional work from concept to install. Role & responsibilities
* Manage the process and delivery of high-end brand activations and installations
* Develop and maintain detailed project plans, schedules, budgets and tracking docs
* Manage multiple projects of varying scale and complexity from end to end
* Coordinate cross-functional teams including design, production, suppliers and install partners
* Be onsite and hands-on during key installs to ensure quality delivery
* Review specs, costings and materials for feasibility and alignment
* Troubleshoot and resolve challenges quickly and collaboratively
* Deliver projects on time, on budget, and to an exceptional standard
* Act as the key contact for clients throughout the project lifecycle
* Build strong relationships with brand, marketing and retail stakeholders
* Provide clear and timely communication around updates, risks and solutions
* Collaborate closely with leadership and other departments to align on deliverables
* Present work-in-progress updates, documentation and reporting
* Liaise with third parties (council, property groups, engineers) to ensure successful, compliant outcomes
* Contribute to debriefs, learnings and process improvements
* Support project delivery frameworks and best practice templates
* Champion the project management process across the business
* Stay up to date with industry trends, production techniques and innovations
* Embrace a Kaizen mindset – always looking for ways to improve and streamline
* Work closely with Creative, Production, Client Services and Install teams
* Foster strong partnerships with suppliers and subcontractors
* Be a team-first contributor and lead by example
* Be confident working autonomously as a project lead

About you (the non-negotiables)
Experience & expertise
* 5-7+ years' hands-on experience delivering brand activations, VM projects and/or retail installations (luxury and beauty experience a plus)
* Proven success managing high-end projects in fast-paced environments
* Strong technical knowledge across materials, substrates, finishes, production methods and VM principles
* Confident managing clients and stakeholders across mid–senior levels
* Experience navigating council permits, site access and compliance
* Skilled in project documentation, budget tracking and cost management
* Based in Sydney and available to work in a hybrid setup (min. three days in office in Lane Cove West)

* Highly organised, with excellent time management and a calm, solutions-first mindset
* Strong communicator, with the confidence to manage expectations and drive delivery
* Comfortable leading cross-functional teams and managing on-site execution
* Quick to problem-solve under pressure without compromising on quality
* Tech-savvy, with strong skills across Microsoft Office, Google Suite, Excel and (ideally) Monday.com
