About the Department of Education

Key Responsibilities
- Maintain effective time management practices for the Executive team, including coordinating diary appointments, prioritising correspondence, preventing unnecessary interruptions and other calendar events.
- Monitor and screen incoming telephone calls and correspondence to the office and, where necessary, direct these to the appropriate areas.
- Assist with various administrative tasks, such as filing, document preparation, and office management.
- Coordinate the records management activities, including records of incoming correspondence and Right to Information requests, monitor the flow of correspondence and provide advice and training in records management to other personnel.
- Manage records and other information resources so that information relevant to the school/college and its functions is readily available to clients.
- Receive and identify client needs and assist visitors and/or appropriately redirect telephone calls.
- Use databases (One School, SOBS, ID Attend) to process information and produce reports.
- On behalf of the Principal, liaise with government, business, industry, parent and education bodies, with a focus on a high level of client services.
Qualifications and Experience
- Proven experience as an Executive Assistant or in a similar administrative role.
- Exceptional organisational and multitasking skills.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Ability to handle sensitive and confidential information.
- Prior experience in a school environment.
- Robust attention to detail and problem‐solving abilities.
- Flexibility and adaptability to meet the needs of the role.
