Established in 2008, Advanced Neuropsychological Treatment Services (ANTS) is a leading provider of neuropsychological assessment and intervention, dedicated to delivering exceptional support. We are a values-driven private practice, guided by the principles of Knowledge, Compassion, and Excellence. Our team consists of clinical neuropsychologists, registrars, and a senior clinical mentor, all committed to improving the lives of our clients.
Our primary focus is on working-age individuals (16 to 65) with acquired brain injuries, although we also serve individuals with a variety of neurological conditions, substance use disorders, mental health conditions, and neurodevelopmental disorders. Additionally, we are proud to operate Australia's first adult Fetal Alcohol Spectrum Disorder (FASD) clinic, where we have cultivated extensive expertise.
We accept referrals from a wide range of professionals, including Rehabilitation Physicians, Case Managers, General Practitioners, Neurologists, Psychiatrists, other Allied Health Practitioners, as well as self-referrals. Through our comprehensive neuropsychological assessment, intervention, and support, we are committed to helping our clients achieve their recovery and personal goals.
**Position Details**:
- Type: Part time / Full time 
- Start Date: ASAP 
- Expected hours: 16 - 40 per week 
- Schedule: 8 hours day shift (8:30 am to 5:30 pm with 1 hour break or 8:45 am to 5:15 pm with 30 minutes break)
**About you**:
- You are professional, friendly, and confident, with a positive attitude.

- You demonstrate excellent initiative and problem-solving skills. 
- Your communication skills are exceptional—whether over the phone, in writing, or in person. 
- You have solid organisational and time management skills, allowing you to stay on top of tasks in a fast-paced environment. 
- You excel at prioritising tasks and managing multiple responsibilities effectively. 
- You bring a flexible, dynamic, and process-driven approach to all aspects of your work. 
- You have previous experience as a receptionist or administration officer, ideally in a clinic or healthcare setting. 
- You understand the importance of confidentiality and handle sensitive information with care and professionalism.
**Qualifications and Skills Required**:
- Proven customer service experience (required) 
- Previous experience in allied health or medical services (required) 
- Proficiency in MS Office, PDF management, Practice Management tools (Cliniko), and Canva 
- Strong attention to detail and a self-motivated work ethic 
- Practical and solution-oriented mindset
**Key tasks & responsibilities** 
- Conduct general administrative tasks such as scanning, filing, typing letters, and managing mail. 
- Coordinate schedules across multiple practitioners and locations to ensure smooth operations. 
- Assist the Senior Management Team with daily administrative tasks and ad hoc support. 
- Manage inventory of clinical and non-clinical materials, diary management, and handle day-to-day operational tasks as needed. 
- Maintain a clean, hygienic, safe, and welcoming practice environment. 
- Ensure clients complete registration and consent forms before services are provided. 
- Liaise with external services, agencies, and clinicians on behalf of the clinical team. 
- Assist in the organisation of events, such as online courses and webinars. 
- Support the clinical team by ensuring files are readily available when needed and appropriately stored at other times. 
- Oversee both paper and electronic file management, including archiving. 
- Occasionally transcribe clinical notes accurately and efficiently. 
- Be flexible to work across our Strathfield South and St Leonards offices as required.
