We are committed to innovation, quality, and delivering an exceptional customer experience. As our operations expand, we are seeking an experienced Office Manager to support head office functions and ensure efficient, compliant, and well-organised daily operations.

Key Responsibilities

Office Administration & Operations

* Manage daily office administration, including scheduling, documentation, internal communication, and record-keeping
* Maintain organised and compliant filing systems (both digital and physical)
* Coordinate office facilities, equipment, and supplies to ensure an efficient working environment

Operations & Coordination

* Support head office operations for multiple Machi Machi store locations
* Coordinate with internal teams and external suppliers to ensure timely delivery of services and materials
* Assist with process improvement and workflow optimisation as the business scales

Finance & Records Support

* Track office expenses and assist with budget monitoring
* Maintain accurate records for invoices, contracts, and supplier documentation
* Support basic reporting and administrative compliance requirements

Human Resources Support

* Assist with recruitment coordination, onboarding, and staff documentation
* Support performance management and training administration for administrative staff
* Maintain personnel records in accordance with company policies

Compliance & Workplace Standards

* Assist in maintaining workplace health & safety compliance
* Ensure internal procedures align with company policies and regulatory requirements

About You

You are an organised, reliable, and proactive Office Manager who enjoys working in a growing business environment. You are comfortable juggling multiple tasks, supporting senior management, and helping a fast-moving brand stay structured and compliant.

Essential Requirements

* 3–5 years' experience as an Office Manager or in a similar administrative or office management role
* Strong organisational, planning, and prioritisation skills
* Excellent communication and coordination abilities
* Ability to manage multiple tasks and meet deadlines
* Proficiency in Microsoft Office and office administration systems

Desirable

* Experience supporting multi-department or service-based businesses
* Experience in budgeting, records management, or office accounts oversight
* Mandarin language skills are an advantage
