Position Title: Executive Assistant to CEO Department: Management Reporting to: Group CEO Position Objectives: We are seeking a highly organized, business-minded, and execution-oriented Executive Associate to work directly with the CEO across strategic initiatives, operational coordination, executive communication, meeting management, and business support. This is not a traditional PA/EA role. The successful candidate will operate as an extension of the CEO Office, helping drive communication, execution, follow-ups, research, coordination, and operational effectiveness across multiple businesses and global teams. The role combines: Executive coordination Strategic operations Research and analysis Meeting orchestration Cross-functional communication Limited personal support for the CEO The ideal candidate thrives in fast-paced, high-growth environments and is comfortable managing ambiguity, shifting priorities, and global coordination. Key Duties and Responsibilities CEO Office & Strategic Coordination Work directly with the CEO across OSW, GreenSketch, GreenDeal, and other strategic initiatives Act as an extension of the CEO Office across business operations, communication, coordination, and execution Attend meetings with the CEO and document key discussions, decisions, action items, and follow-ups Track strategic priorities and execution progress across multiple business units Coordinate cross-functional communication between leadership teams, departments, and external stakeholders Prepare summaries, briefing notes, presentations, and research materials ahead of meetings and business discussions Meeting & Workflow Management Manage the CEO's calendar, scheduling priorities, and workflow coordination Coordinate internal and external meetings across multiple global time zones Ensure meeting agendas, preparation materials, and supporting documents are ready in advance Drive meeting follow-ups, accountability tracking, and execution management Help centralize meeting requests, approvals, and communication workflows through Lark Research & Business Support Conduct market, competitor, industry, and partnership research Assist with preparation of reports, presentations, and strategic business materials Support new business initiatives, operational projects, and strategic partnerships Organize and consolidate information across multiple teams, systems, and projects Summarize complex information clearly and provide actionable insights to support decision-making Communication & Stakeholder Coordination Act as a communication bridge between the CEO and internal/external stakeholders Ensure important discussions, priorities, and tasks are followed through to completion Improve organizational responsiveness, alignment, and execution efficiency Communicate confidently with senior stakeholders, partners, and leadership teams Limited Personal Support (10-20%) Assist with selected personal scheduling and coordination matters for the CEO and family when required Support travel coordination, events, and occasional personal administration with professionalism and discretion Flexibility & Travel Willing to travel frequently with the CEO for meetings, events, and business development opportunities Comfortable working outside traditional office structures when required Flexible in supporting both business-related and occasional personal/family coordination matters Able to adapt to dynamic schedules and last-minute changes Key Skills, Knowledge and Attributes Strong business acumen and commercial awareness Exceptional organization and execution skills Strategic coordination and stakeholder management Strong research, analytical, and problem-solving ability Excellent written and verbal communication skills High ownership mentality and proactive attitude Professionalism, discretion, and confidentiality management Adaptability in fast-paced, dynamic environments Qualifications and Licencing Requirements Current Open Driver Licence.
