We are a growing trade services company based in Thomastown, providing plumbing, drainage, and electrical services across Melbourne.

We are looking for an experienced and proactive Senior Office & Accounts Manager to take ownership of our day‐to‐day office operations and support the financial administration side of the business.

This is a hands‐on role suited to someone who enjoys creating structure, solving problems, improving systems, and keeping a busy office running smoothly.

You will work closely with leadership and support a part‐time Accounts Assistant, while acting as a key operational support person across the business.

About the Role

This role combines office management, accounts administration oversight, systems coordination, and operational support.

You will be responsible for managing office operations, supporting finance processes, improving workflows, and ensuring the administrative side of the business runs efficiently.

Accounts Responsibilities
* Managing and supporting a remote Accounts Assistant
* Bank reconciliations and maintaining accurate financial records
* Preparing BAS/GST information for review
* Monitoring cash flow and identifying risks or discrepancies
* Managing Accounts Payable, supplier reconciliations, and finance emails
* Managing Accounts Receivable, payment allocations, and overdue accounts
* Supporting payroll, superannuation, LSL, and year‐end obligations
* Running financial reports and supporting compliance requirements
* Assisting with process improvements and workflow automation
* Supporting insurance renewals and ad‐hoc financial administration
Office Management Responsibilities
* Coordinating IT support and software user access
* Coordinating with external HR providers regarding employment matters and compliance support
* Managing vehicles, fuel cards, e‐tags, and asset registers
* Ordering uniforms, office supplies, and stationery
* Coordinating office maintenance, cleaners, and service providers
* Managing onboarding, staff records, licences, and documentation
* Supporting apprentice administration and grant applications
* Assisting with ISO compliance and company procedures
* Supporting recruitment and general office administration
* Coordinating staff events, birthdays, and team celebrations
* Handling mail, fines, subscriptions, and general office operations
About You
* Highly organised and detail‐oriented
* Experienced in office management and accounts administration
* Confident managing competing priorities
* Comfortable working independently and taking initiative
* Strong with systems, processes, and problem‐solving
* Able to communicate professionally with staff, suppliers, and management
* Process‐driven, proactive, and reliable
Experience Required
* Previous experience in a senior office management, operations, or finance administration role
* Strong accounts administration knowledge
* Experience supporting payroll and compliance processes
* Experience with accounting or job management systems (AroFlo ideally, but not essential)
* Experience managing or supporting junior administrative staff
