Workforce planning & admin officer

The Workforce Planning & Administration Officer supports the effective delivery of services through accurate rostering, workforce coordination, and administrative and compliance support.

This role is responsible for supporting day-to-day office operations, coordinating staff rosters in line with SCHADS Award requirements and organisational needs, and assisting with key NDIS compliance and quality processes. The position works closely with the service team to ensure staffing coverage, regulatory reporting, and documentation standards are maintained.

Key Responsibilities

Administration & Reception

* Front desk and reception duties: greeting visitors, answering phones, and handling enquiries

* Data entry, correspondence, filing, and office supplies management

* Scheduling meetings and supporting diary coordination

* Distributing documentation to relevant stakeholders as directed

Workforce Planning & Rostering

* Support workforce planning and rostering for frontline staff — creating compliant rosters, managing shift allocations and availability, updating systems, and assisting in forecasting and filling staffing needs in line with SCHADS Award standards

* Maintain accuracy of rostering systems and staff availability records

* Monitor roster gaps and support timely coverage of shifts

* Utilise rostering software and tools to support shift planning, awards compliance, and staffing projections

NDIS Compliance & Quality Support

* Maintain and monitor all supporting documentation, including Behaviour Support Plans (BSPs), medical records, behavioural reports, and related assessments, ensuring annual reviews are completed and relevant managers are notified of upcoming or overdue review dates

* Assist with tracking reportable incidents and monitoring submission status, and prompt the Team Leader and Service Manager to ensure required action items are lodged via PRODA within required timeframes

* Support restrictive practice reporting processes and prompt relevant managers regarding submission timeframes

* Assist with WHS documentation reviews and record management

* Design and implement a comprehensive annual internal audit tool to support planning, execution, tracking, and documentation of audit activities.
