The Indigenous Consumer Assistance Network Ltd (ICAN) is seeking a motivated and detail-oriented Administration Officer to join our team in Cairns. This role is central to ensuring smooth operations across ICAN's business units and supporting the delivery of high-quality services to clients, students, stakeholders and the community.

ICAN is a not-for-profit organisation committed to "Empowering Indigenous Consumers." We provide consumer education, advocacy, and frontline financial counselling assistance for Aboriginal and Torres Strait Islander peoples across Australia.
Our subsidiary, ICAN Learn, delivers nationally recognised training, education and leadership development across the community services, financial counselling, capability and resilience sectors.

About the Role
The Administration Officer reports to the General Manager and provides cross-organisational administrative support. You will be the first point of contact for many of ICAN's enquiries and a key support for staff and trainers across ICAN and ICAN Learn.
This role is ideal for someone who thrives on organisation, communication, and variety in their daily work.
Key Responsibilities
* Respond to ICAN and ICAN Learn enquiries by phone and email, including answering all incoming calls, transferring calls and recording accurate messages
* Provide administrative support across the client and student journey
* Take accurate minutes for team meetings and stakeholder meetings
* Undertake data entry, maintain records, and support reporting requirements
* Assist with invoicing and financial administrative processes in collaboration with the ICAN Support team
* Provide administration support to ICAN's management team
* Coordinate general office management, including ordering stationery and supplies
* Arrange staff travel and accommodation
* Monitor ICAN's social media channels
* Support content creation, publishing and maintaining the social media calendar
* Assist with Client Authorisation Forms and data collection tasks
* Provide data entry support to team members as needed
* Ensure compliance with relevant codes, legislation and organisational procedures
Who You Are – Selection Criteria

1. Qualifications & Experience
2. Demonstrated experience in an administration role, ideally within the training or community services sector
3. Skills, Knowledge & Expertise
4. Excellent verbal and written communication skills, with strong emotional intelligence
5. Moderate-level computer literacy, including Microsoft Office and Microsoft Teams
6. Ability to learn and navigate new software, data collection and reporting systems
7. Understanding of compliance, reporting and audit preparation requirements
8. Ability to work effectively both independently and within a team
9. Willingness to learn about and engage with Indigenous cultural protocols
10. Interest in the financial counselling, capability and community services sectors
11. Strong problem-solving skills including the ability to analyse issues and develop solutions
12. Outstanding organisational and time-management abilities
