CASA requires Specified Personnel for the position of Executive Assistant within the Communication and Industry Engagement Branches. This position is a CS2A (APS 4 equivalent).
This role will support 2 National Managers (SES Band 1 equivalent), as well as provide administrative support to the wider branches.
About the Role Reporting to Senior Manager/s, the Executive Assistant will work across the branch/es to provide high level executive and administration support. This will include supporting the smooth operation of the division and/or branches through high level administrative support in diary and email management, correspondence management and general administrative support.
Key Duties
* Screening calls and organising meetings, forums and workshops
* Arranging travel and bookings and undertaking financial management activities including credit card reconciliations and travel acquittal as required
* Tracking and managing incoming and outgoing correspondence, emails and documents, and distribution in a timely manner and ensuring that all deadlines are met
* Diary and calendar management to ensure all responsibilities are met
* Undertaking research and preparing correspondence, including anticipating requirements for, and timely preparation of, briefing material prior to the meetings
* Arranging meetings including collating papers, venues and catering
* Records management, ensuring that documents are filed in accordance with approved record management processes and security requirements
* Coordinating and working with relevant staff to provide responses to corporate documents and regular reporting requirements
* Management and coordination of stationery orders for the office
* Acting as the central point of contact for IT related matters including reporting of issues, returning equipment, ordering and issuing new equipment and maintaining asset registers
* Assisting with onboarding and offboarding of staff
* promoting workplace safety, equity and diversity, participative management and environmental management in the workplace and act in accordance with CASA's values and behaviours.
Essential Attributes / Skills / Experience
* Strong written and oral communication skills, including a demonstrated capacity in liaising, managing and working professionally with a diverse range of people
* Experience in preparing correspondence, collating documents and researching information across a range of topics for distribution
* High level of organisational and time management skills with the ability to adapt to competing priorities and stay focused in a fast-paced environment
* High level of attention to detail
* High level skills using MS Office, including proficiency in Word and Excel
* Able to exercise strong discretion in a position of trust
* Demonstrated knowledge and experience in a fast-paced and customer-focused administration, receptionist or Executive Assistant role
Desirable attributes
* Experience in an aviation or regulatory environment
* knowledge or interest in working as part of a fast-paced team would be highly regarded.

The Specified Personnel will be based at CASA's Canberra Office located at 18 Marcus Clarke Street, Canberra ACT 2600.
