The Role The Receptionist will create a positive first impression for parents, students, staff, and visitors, with a welcoming and engaging environment, clear communication, and personalized interactions.
As the first point of contact for visitors, parents, students and staff, the role requires a professional and welcoming demeanor, strong communication skills, adaptability, and the ability to manage multiple tasks in a fast-paced environment.
The ideal candidate will be proactive, organized, and capable of working both independently and as part of a team.
Reporting directly to the Office Manager, the Receptionist will ensure positive first impressions and will be an essential part of the Administration Team.
This opportunity will be a permanent, part-time role, working across 5 days a week during the morning shift (7.45am - 1.30pm) and requires the ability to be flexible with working arrangements and be able to cover other shifts as needed.
Key Duties Greet and assist visitors, parents and students in a warm and professional manner.
Answer and manage phone calls, emails and other correspondence, directing them to the appropriate departments.
Manage meeting room bookings for staff and visitors.
Ensure smooth operation of the Reception area, maintaining a clean, organized and secure environment.
Assist with student attendance and other administrative tasks as directed by the Office Manager.
Handle confidential information with discretion and in accordance with CGS policies.
Provide flexibility to cover afternoon Reception if required, ensuring consistent coverage.
Model and live the Caulfield Grammar School values and behaviours Skills and Experience Previous reception or administration experience, ideally in a school or similar environment.
Strong organizational and multi-tasking skills.
Excellent communication skills, both written and verbal, with the ability to connect and interact with people from various diverse backgrounds and cultures.
Proficiency in Microsoft Office and school management software (training will be provided if necessary).
Ability to work independently and as part of a team.
A friendly and approachable demeanor, with a positive attitude.
