About the opportunity
Together with the Stakeholder Engagement and Communications (SEC) team, the position is responsible for developing and implementing effective internal and external stakeholder engagement to support the activities of the Legislation, Policy and Information Services (LPIS) Division.
The Administration Officer plays an important role coordinating a wide range of stakeholder engagement activities, including presentations and information products and the organisation of stakeholder engagement forums, as required. The role also involves providing high level administration management and support to the LPIS Division. Key accountabilities include:
Coordination of stakeholder engagement and statutory consultation functions within the Division, and supporting the SEC Manager and team members.
Providing secretariat functions for the Rehabilitation and Compensation Working Group and other committees, advisory groups and/or working groups (as needed)
Administration of a broad range of processes and procedures to support the convening of and involvement in stakeholder forums, including taskforces and reference groups. This includes the development of briefing packs, making travel arrangements, organising catering and venues.
Coordination of information to stakeholders and follow up on issues arising from stakeholder engagement.
Utilise networks effectively and efficiently to resolve issues for the team.
Assisting with the Division's administration support and project management activities, including support for the preparation of documents and briefings for national forums and management of stakeholder information.

In this role, you'll bring your strong coordination, communication and administrative expertise to ensure the smooth delivery of projects, meetings and engagement activities. To succeed, you will bring:
Proven experience coordinating stakeholder engagement, with the confidence to work with a broad range of internal and external partners.
Expert administrative capability, including advanced planning, scheduling, and coordination skills that support seamless operations.
Exceptional communication skills — both written and verbal — with the ability to prepare clear agendas, minutes, reports and presentations.
Outstanding organisational and time-management skills, allowing you to manage competing priorities and meet tight deadlines.
High attention to detail and a commitment to producing accurate, high-quality work.
Strong judgement, tact and professionalism when liaising with diverse clients and stakeholders.
Ability to work both autonomously and as part of a team, taking initiative while remaining collaborative and responsive.
Experience with event and meeting coordination, including diary management and organising team functions.
Intermediate to advanced proficiency in Microsoft Word, Excel and PowerPoint.
