Lead Strategic Accommodation and Venue Procurement for a Major National Event

We are seeking an experienced and dynamic EL1 Accommodation Specialist – Procurement to oversee the full spectrum of accommodation and venue‐related contracting activities for our Federal Government client. You will lead negotiations with accommodation providers, design and manage key operational systems, and provide strategic advice to senior stakeholders across government and the event delivery environment.

Duties and Responsibilities
Strategic Leadership and Advice
* Provide strategic advice on accommodation planning and allocations for senior officials, international representatives, delegates, and workforce personnel.
* Coordinate the utilisation of hotel event spaces to ensure optimal planning, layout, and operational alignment with technical, safety, and service requirements.
Planning and Documentation
* Draft key accommodation documents, including strategic plans, operational plans, procurement strategies, and supporting materials required for successful service delivery.
Procurement and Contract Management
* Lead and participate in procurement activities, including the drafting of tender documentation, evaluation of tenders, contract development, and ongoing contract management.
* Act as the primary negotiator for accommodation and venue contracts, securing strong contractual terms and managing risk throughout the contract lifecycle.
Operational Systems and Inventory Management
* Develop an end‐to‐end accommodation booking process to support all client groups.
* Build and maintain an accommodation inventory tool to track contracted rooms, allocations, and associated financial and operational risks.
Workforce Accommodation
* Support the procurement and allocation of accommodation for workforce personnel across multiple providers.
* Lead detailed room allocation activities to ensure efficient and appropriate placement of workforce groups.
Event Operations and Coordination
* Provide accommodation support for any associated or satellite events linked to the broader program.
* Serve as the Accommodation Representative in the Event Operations Centre, coordinating operational responses across accommodation providers and resolving issues promptly to support seamless event delivery.
Desirable Skills and Experience
* Knowledge and experience in Commonwealth procurement processes.
* Strong background in contract management and stakeholder engagement.
* Experience in the accommodation, hospitality, or major government events sector.
* Demonstrated expertise in managing accommodation inventories across multiple hotels for high‐profile government attendees, such as Ministers, senior officials, and international delegations.
This is labour hire contract initially until 30th June with potential for extension.
