About the Role

As the Account & Office Administrator, you'll lead the internal finance and office administration functions. Your responsibilities will span:

* Accounts payable and receivable
* Payroll and reconciliations
* International freight and customs coordination

You'll work closely with internal sales and warehouse teams, external accountants, freight forwarders, and customs brokers to ensure financial and operational accuracy across the business.

Key Responsibilities

* Manage AP/AR, payroll, and bank reconciliations using Xero
* Follow up on receivables with the sales team
* Handle supplier payments, including triple reconciliations (banks, forwarders, suppliers)
* Coordinate documentation for freight, trade finance, and customs
* Liaise with freight forwarders, customs brokers, and accountants
* Support stock reconciliation and internal warehouse reporting
* Maintain administrative systems and supplier records
* Communicate clearly and assertively across departments and stakeholders

Who You Are

* 5+ years' experience in finance/admin roles, ideally in wholesale, import or distribution
* Proficient in Xero and Australian bookkeeping practices
* Comfortable with trade finance (CBA platform experience ideal)
* Skilled in multi-party reconciliation and transactional accuracy
* Familiar with import/export documentation and compliance
* Assertive, proactive, and professional in approach
