The Role
De Stefano & Co is seeking a confident and capable Office Manager and Personal Assistant to play a central role in the day to day administrative running of the business, and support the CEO.
The responsibilities of the role centre around hands on office and administrative tasks. The successful candidate will keep the CEO focused and effective, and help create a well organised, productive and welcoming environment for clients and employees.
Key Responsibilities
* Take ownership of the day to day running of the office environment
* Ensure the office is consistently organised, professional and client ready
* Manage office supplies, catering, facilities and subscriptions
* Greet guests and coordinate meetings and events
* Provide administrative and data entry support across CRM and internal systems
* Enter and manage data for Government Grants submissions
* Support governance and compliance activities as required
* Gather client feedback on a periodic basis
* Support internal and client events, including team functions and roundtables
* Coordinate client gifting in partnership with Marketing
* Provide ad hoc administrative support as required
* Manage and prioritise the CEO's calendar, proactively protecting time and focus
* Act as the primary point of coordination between the CEO and internal and external stakeholders
* Draft, review and manage correspondence on behalf of the CEO
* Prepare briefing notes, minutes and follow up actions
* Administratively contribute to presentations, reports and meetings
Requirements
* Previous autonomous administrative experience, with demonstrated initiative
* Demonstrated ability to work closely with a senior leader and exercise sound judgement
* High levels of tact, discretion and professionalism when handling sensitive information
* Confidence to prioritise competing demands
* A proactive mindset with the ability to anticipate needs rather than wait for direction
* Strong organisational skills, attention to detail and follow through
* Comfortable balancing support to a senior leader, with hands on administrative responsibilities
