About the Role

The University Advancement team is seeking a highly organised, proactive, and collaborative professional to join as an Administrative Officer to support the Faculty of Humanities. This position is integral to the effective operation of the Advancement portfolio, providing comprehensive administrative support to a range of strategic initiatives. You will coordinate schedules, manage communications, maintain key data systems, and assist with event logistics, all while contributing to the University's philanthropic and alumni engagement objectives.

Working within a high-performing and purpose-driven team, you will have the opportunity to support meaningful engagement and fundraising activities that create lasting impact across the University and wider community.

Role requirements
* Coordinate donor and alumni stewardship activities, including correspondence, budgeting and meeting logistics.
* Utilise the Raiser's Edge CRM and relevant office systems to manage data and generate reports, including financials and donor engagement summaries.
* Maintain and enhance the accuracy of constituent records through timely database updates.
* Provide high-level administrative and logistical support to projects and events.
* Ensure efficient and timely documentation and tracking of all activity.
* Foster strong professional relationships with internal stakeholders and external partners.
* Support donation processing and reconciliation in collaboration with the Gift Services Coordinator.
* Identify and implement process improvements to enhance operational effectiveness.
* Contribute to impactful fundraising campaigns aligned with University priorities.
Who we are looking for / Selection Criteria
* Experience in providing high-level administrative support, with the ability to establish and maintain efficient processes and systems.
* Strong organisational skills with the ability to manage competing priorities, coordinate meetings and events, and support senior staff with diary and scheduling management.
* Excellent written and verbal communication skills, with experience agendas, minutes, and professional correspondence.
* Demonstrated ability to interpret and apply policies, procedures, and guidelines, and provide clear advice to a range of stakeholders.
* Experience providing administrative and logistical support for projects and events, including coordinating venues, suppliers, and resources.
* High attention to detail and ability to manage documentation, shared information repositories, and correspondence in a timely and accurate manner.
* Experience using databases and software systems to manage, extract records and data.
* Experience supporting financial processes, including budget administration and tracking expenditure.
* Experience coordinating travel arrangements in line with organisational policies.
* An understanding of, or experience in, donor relations, fundraising support, or stakeholder engagement activities.
Role Requirements
* As this is a continuing (permanent) role, you will require permanent work rights in Australia to be considered.
