What You'll Be Doing (The Core Responsibilities):
This isn't a typical desk job—you're the central hub of our service operation, juggling multiple priorities to keep our technicians busy and our customers' machines running.
1. Service Scheduling & Logistics
* Own the calendar:
Book, plan, and dispatch service jobs (both field and workshop) for our team of technicians, ensuring optimal routes and efficient time management.
* Keep everyone informed:
Provide clear, professional updates to customers regarding job status, repair timelines, and any delays.
2. Parts & Inventory Management
* Source the solution:
Handle all
parts inquiries
—identifying the correct component, providing quotes, and sourcing it quickly from local and international suppliers.
* Purchase Power:
Track purchase orders for all necessary repair parts and consumables.
3. Warranty Administration
* Claim Expert:
Administer, compile, and submit all
warranty claims
to equipment manufacturers, ensuring accurate documentation and diligent follow-up until credits are received.
4. Customer Experience
* First Impression:
Be the welcoming, friendly voice and face of the Service Department, managing queries and resolving scheduling or parts issues with a problem-solving attitude.
What We're Looking For (Your Profile):
* Administrative Experience:
2+ years in a coordination, administration, or logistics role, ideally within a service, repair, automotive, or industrial setting.
* Mechanical Aptitude:
You don't need to be a technician, but you must be comfortable learning about mechanical and electrical components.
* Master Organizer:
Exceptional organizational skills. You can manage multiple work orders, track dozens of parts, and handle frequent interruptions without missing a beat.
* System Savvy:
Proficiency with Microsoft Office (Outlook, Excel) and experience working with a service management (ERP/CRM) system is a huge plus.
* Outstanding Communicator:
Clear, confident, and professional when dealing with everyone from a technician to a company director.
