About the Role
This is an exciting opportunity to be the professional face of our technology client's workplace, delivering exceptional reception and facilities coordination services. This role combines outstanding customer service delivery at reception with vital administrative support to the facilities team, including invoice processing, vendor coordination, and event assistance. You'll be a key point of contact, building strong relationships across all levels of the organisation while ensuring the workspace operates smoothly and professionally. This role is full time on site, Monday to Friday, 8:30 – 5:00pm.
Key Responsibilities
* Serve as the primary reception contact
* Manage switchboard operations, visitor sign-in procedures, and ensuring reception areas are immaculate and welcoming
* Coordinate meeting rooms, catering arrangements, and event support including room setup, audio-visual services, and after-hours access requirements
* Act as the on-site facilities liaison, logging and reporting faults, defects, and maintenance issues
* Process and track all invoices and purchase orders in JLL and client systems
* Manage vendor inductions, contractor coordination, and maintain compliance trackers for preventative maintenance and EHS requirements
* Oversee incoming/outgoing mail and courier services, parking management, and stationery supplies
* Build and maintain effective relationships with client stakeholders, building management, and service providers
* Support business continuity by following established escalation procedures, incident reporting, and assisting with risk management programs
Key Skills
* Previous reception experience in a corporate environment with demonstrated ability to deliver professional, customer-focused service
* Strong organisational and multitasking capabilities with proven ability to prioritise workload and meet tight deadlines in a fast-paced environment
* Excellent interpersonal and communication skills with the confidence to interact effectively with all levels from CEO to contractors
* Self-motivated and adaptable professional who can work independently with minimal supervision while remaining flexible to changing situations
