The role
The Office Administrator is responsible for supporting the daily administrative, reservations, and front office operations of the resort. This role ensures efficient guest communication, accurate booking management, professional reception services, and effective office administration while contributing to exceptional customer service and smooth resort operations.
Qualifications / Experience
- Previous experience in administration, reception, hospitality, or reservations
- Strong customer service and communication skills
- Excellent organisational and time management abilities
- Ability to multitask and work effectively in a fast-paced environment
- Strong computer skills including Microsoft Office and booking systems
- Professional presentation and friendly manner
- Ability to work independently and as part of a team
- Current National Police Clearance
- Experience in accommodation, hotel, or resort operations
- Knowledge of reservation systems such as RMS, GuestPoint, SiteMinder, or similar
- Basic bookkeeping or accounts administration experience
- Local knowledge of Busselton and surrounding tourism attractions
Key Responsibilities Front Office & Guest Services
- Welcome guests and provide professional, friendly customer service
- Manage guest check-ins and check-outs efficiently
- Handle guest enquiries, requests, and complaints in a courteous and timely manner
- Provide information regarding resort facilities, local attractions, and services
- Maintain a clean, organised, and professional reception area
Reservations & Bookings
- Manage accommodation bookings via phone, email, online booking platforms, and walk-ins
- Process reservations accurately using booking management systems
- Monitor room availability and occupancy levels
- Confirm bookings, process payments, and issue invoices and receipts
- Coordinate booking amendments, cancellations, and special guest requests
- Liaise with housekeeping and maintenance teams regarding arrivals and departures
Office Administration
- Perform general office administration duties including filing, scanning, data entry, and document management
- Answer and direct incoming phone calls and emails
- Maintain accurate guest and business records
- Assist with payroll, supplier invoices, and basic accounts administration as required
- Order and maintain office and reception supplies
- Prepare reports and administrative documentation for management
Operational Support
- Assist management with daily operational coordination
- Support compliance with company policies, procedures, and workplace safety standards
- Help maintain high presentation and service standards across the resort
- Contribute to a positive and collaborative workplace culture
