To support this work, we are looking for a highly organised and proactive Events Logistics and Digital Assistant to support the delivery of a wide range of events at Macquarie University.

Working within the Events and Domestic Protocol (EDP) team in Group Marketing, you will play a key role in coordinating event logistics while supporting the development and delivery of digital event assets and event technology solutions.

This is a hands-on and varied role suited to someone who thrives in a fast-paced environment, enjoys problem-solving, and takes pride in delivering smooth, professional event experiences.

About the Role

As an Events Logistics and Digital Assistant, you will provide operational, logistical and digital support across a wide range of university events and event-related activities.

Reporting to the Director, Events & Domestic Protocol, you will work closely with internal stakeholders, service providers and external suppliers to help ensure events are delivered efficiently, professionally and to a high standard.

This role offers a blend of event operations, logistics, equipment coordination, stakeholder support and digital event delivery, making it ideal for someone who enjoys variety and takes a practical, solutions-focused approach to their work.

Key responsibilities include:

* Providing operational and logistical support for assigned events and/or venue spaces to ensure smooth and timely delivery.
* Supporting the delivery of Flagship, Tier 1 and Tier 2 events, including providing onsite event assistance and coordinating casual support staff where required.
* Acting as a first point of contact for operational and logistical event matters, resolving issues where appropriate and escalating when needed.
* Assisting with the coordination, organisation and loan of event equipment, including delivery, collection, stocktake and storage support.
* Working closely with the EDP team, internal service providers and external suppliers to support event operations and administrative requirements.
* Assisting with the development, production and implementation of digital event assets and supporting stakeholders in the use of event technology solutions.
* Contributing to process improvement and the ongoing review of operational and logistical procedures to support efficient event delivery.
* Building strong collaborative relationships with internal and external stakeholders while maintaining a high level of service and professionalism.

Due to the nature of event delivery, some work outside normal business hours will be required from time to time.

This role offers the opportunity to join a collaborative and supportive team contributing to events that make a visible impact across the University.

About You

You are a highly organised, dependable and solutions-focused professional who enjoys working behind the scenes to make events run smoothly. You bring a practical and proactive approach to your work, with the ability to manage competing priorities, respond calmly to operational issues, and support both physical and digital aspects of event delivery. You are equally comfortable coordinating logistics, working with stakeholders and suppliers, supporting digital event tools, and rolling up your sleeves to assist with onsite delivery when needed.

Most importantly, you take pride in being reliable, detail-oriented and collaborative, and enjoy contributing to high-quality event experiences.

* A qualification or certificate in a relevant discipline and/or equivalent relevant experience.
* Knowledge of events logistics best practices and experience providing operational and logistical support for the successful delivery of events.
* Knowledge of Event Digital programs such as Events Air.
* Demonstrated ability to successfully prioritise and manage multiple tasks in a dynamic environment.
* Strong interpersonal and communication skills, with the ability to build and maintain effective working relationships with a range of stakeholders.
* A high level of organisation and attention to detail.
* Strong computer literacy, including confidence using the Microsoft Office Suite.
* Tertiary qualification in hospitality management, marketing management, or a related discipline.
* Experience using event registration software, event apps, email marketing tools, desktop design and virtual event platforms in the delivery of physical and virtual events.

Other Specific Requirements

* A valid NSW driver's licence
* Ability to safely perform the inherent physical requirements of the role, including manual handling and lifting/moving event equipment, with items weighing at least 20kgs.
