Current Opportunity
We’re looking for a motivated and passionate Executive Assistant to play a key support role to three Partners with their client engagements.
You will work closely with and support the Business Services team day-to-day and collaborate with other administrative professionals within the Business Services Support team, on projects and process improvements.
Duties and responsibilities
* Diary management, including responding to invitations, scheduling meetings and managing conflicting priorities.
* Plan and coordinate meetings, training sessions, events, travel and accommodation.
* Embrace existing and new technology and provide support to your Partners and team.
* Build strong relationships with clients, supporting three Partners with their client engagements.
* Coordinate client on-boarding processes, ensuring compliance with the firm’s risk framework.
* Provide proactive administration support to the Business Services team to promote effective business operations and positive team culture.
* Manage Partners’ expenses and billings.
* Plan and coordinate meetings, training sessions, events, travel and accommodation.
* Prepare and revise correspondence, documents, reports, agenda, meeting minutes and action items.
* Assist with database and systems management where directed (including APS, Xero).
* General administration (i.e., scanning, filing, archiving, document collation) as required.
What you’ll need to succeed:
* Previous experience in administration support, preferably within a professional services environment.
* Organisation and planning skills, with the ability to multitask and work in a changing and dynamic environment.
* High level communication and interpersonal skills, with the ability to build strong relationships at all levels.
* The ability to work autonomously and as part of a team.
* Have a sense of urgency and use initiative, with the ability to proactively seek answers or further advice where required.
* Be tech savvy, with the ability to adapt to new Executive Atechnology including proficient touch-typing skills for efficient keyboard use.
