The business provides commercial cleaning, property maintenance, contractor coordination and facility support services to clients across commercial, business and facility environments. We are seeking a full-time Contract Administrator — Cleaning and Maintenance Services to support the administration and delivery of commercial cleaning and maintenance service contracts. The successful candidate will be responsible for administering client contracts, coordinating service documentation, managing variations, monitoring contract performance, liaising with clients and contractors, and supporting management with contract reporting and service delivery matters. This role is suitable for a candidate with experience in contract administration, project administration, cleaning services coordination, facilities services, contractor coordination, operations administration or commercial service delivery. Key Responsibilities The successful candidate will be responsible for: Preparing, reviewing, maintaining and administering commercial cleaning and maintenance service contracts. Interpreting contract terms, service specifications, scopes of work, KPIs and service-level requirements. Developing, reviewing and coordinating variations to contracts, work orders, programs, projects and services. Responding to client, contractor and internal enquiries regarding contracts, service delivery, variations and operational issues. Managing paperwork associated with contracts, service programs, projects and maintenance services. Maintaining contract records, service schedules, site instructions, variation registers, compliance documents and client correspondence. Liaising with clients, contractors, site supervisors, operations staff and senior management to ensure contract requirements are met. Overseeing work performed by contractors and service teams to ensure compliance with contract requirements. Reporting on variations to work orders, contract performance, service issues and contractor performance. Preparing and reviewing submissions, reports and correspondence concerning the company’s cleaning and maintenance activities. Collecting and analysing data relating to service delivery, labour allocation, contractor performance, client complaints and project outcomes. Advising senior management on contract issues requiring attention and implementing approved decisions. Assisting with contract renewals, new client onboarding, tender documentation and service mobilisation. Coordinating documentation for new sites, changes to service schedules and additional cleaning or maintenance requests. Supporting compliance with workplace health and safety, client site requirements and company policies. Skills and Experience Required Applicants must have: At least 1 year of relevant full-time experience, or equivalent part-time experience, in contract administration, project administration, cleaning services coordination, facilities services, contractor coordination, operations administration or a related field. Experience working with commercial service contracts, client service agreements, work orders, contractors or service delivery documentation. Ability to prepare, review and maintain contract records, reports, schedules and correspondence. Strong communication skills and the ability to liaise with clients, contractors, staff and management. Good organisational skills and the ability to manage multiple contracts, sites or service requirements. Ability to identify and resolve issues relating to contract performance, service delivery and client requirements. Strong attention to detail and ability to maintain accurate records. Computer literacy, including Microsoft Office, email, spreadsheets and business administration systems. Qualifications The following will be highly regarded: Diploma or higher qualification in business, management, project administration, contract administration, facilities management or a related field; or Relevant industry experience in cleaning, maintenance, facilities services, contractor coordination or service contract administration.
