Key Responsibilities:
* Coordinate and manage scheduling of field staff and meetings using AroFlo, ensuring efficient resource allocation across all active projects.
* Act as the first point of contact for clients, subcontractors, and internal stakeholders, delivering a high standard of customer service and communication.
* Prepare and issue detailed quotations across four key business divisions in collaboration with the project and sales teams.
* Manage the raising, tracking, and receipting of purchase orders and subcontractor invoices, ensuring timely and accurate financial documentation.
* Support project managers with procurement of materials and general administrative assistance for ongoing works and ad hoc tasks.
* Serve as a liaison between internal teams, clients, and external contractors to facilitate project progress and resolve issues promptly.
* Monitor and track project timelines, milestones, and deliverables to support successful, on-time project completion.
* Coordinate the onboarding process for new team members, including inductions, compliance documentation, and integration into active projects.
* Provide ongoing support to existing staff, ensuring they have the necessary tools, documentation, and information to execute project tasks effectively.
* Coordinate certification and engineering documentation to ensure all compliance and regulatory requirements are met throughout the project.
* Ensure employees are adhering to time management procedures, including timesheet entry and utilisation of the bundy clock.
* Assist in monitoring and promoting compliance with Work Health and Safety (WHS) policies and procedures, including maintaining safety documentation, supporting site audits, and ensuring all staff are inducted and aware of their WHS responsibilities.
* Demonstrate a commitment to continuous improvement by taking on new responsibilities aligned with your capabilities and professional growth goals.
* Proven experience in administrative or operations support roles, ideally within construction, trades, or a scheduling-driven environment.
* Strong multitasking and time management skills, with a proven ability to prioritize and manage competing deadlines.
* Proficiency in AroFlo or similar job management software.
* Experience with Xero Accounting System and basic financial administration processes.
* High-level interpersonal and written communication skills with the ability to engage effectively with internal and external stakeholders.
