The Role
With local and global matrix reporting lines this role will see you take full accountability for overseeing its APAC workplace portfolio, which includes a range of geographically dispersed leased offices and data centre locations. The position is accountable for managing vendor partnerships, lease obligations, and landlord relationships, while leading contract discussions and ensuring high standards of service delivery. This company expects the role to uphold a professional and seamless front‐of‐house and facilities environment across all sites. Close collaboration with regional Business and Technology stakeholders, as well as global Facilities counterparts, is central to the position, with ongoing cross‐border engagement and periodic travel forming part of the remit.
Key Responsibilities
* Lead the full APAC lease portfolio and management process—tracking critical dates, overseeing renewals and space changes, managing exit requirements, maintaining strong landlord engagement, and collaborating with Legal and Finance to ensure sound commercial terms and compliance.
* Manage vendor lifecycle for all services—handling selection, RFPs, negotiations, renewals, SLAs/KPIs, and reviews—while optimising the panel to drive cost, quality, and risk performance.
* Ensure high front‐of‐house standards and seamless daily office operations, including reception, visitor management, mailroom, meeting rooms, and space planning, to provide a superior workplace experience.
* Manage office fit‐outs, refurbishments, and infrastructure projects—overseeing designers and engineers—while controlling scope, budget, schedule, and coordinating work inside and outside business hours.
* Oversee and mentor 1 direct report.
* Maintain regulatory compliance (WHS/EHS, fire safety, permits) and accurate records, while coordinating with Technology on BCP/DR, incident management, and after‐hours changes.
* Manage OPEX/CAPEX budgets and forecasts, ensure invoice accuracy, drive cost‐saving initiatives, and deliver transparent portfolio reporting to regional and global stakeholders.
Key Skills
* At least 10 years of experience managing multiple financial services APAC sites, with responsibility for leases, vendor partnerships, and overall workplace operations.
* Proven track record in execution not just strategy as this is a very hands on role.
* Demonstrated expertise in commercial strategy and negotiating lease and service agreements, within the financial services industry.
* Experienced in working with external partners, along with a strong stakeholder internal engagement.
* Willing to work outside regular hours for global collaboration and the ability to travel regularly within the regions.
* Practical experience managing fit‐outs and workplace transformations, with formal project management certification (such as PMP or PRINCE2) considered advantageous. Skilled in CAFM/IWMS and MS Office, with familiarity in AutoCAD considered beneficial but not required.
* Solid understanding of building systems and data‐centre operations, with the ability to interpret and lead technical discussions without acting as the hands‐on engineer.
* Strong knowledge of WHS/EHS and regulatory standards throughout APAC regions.
