About This Role
Ongoing, full‐time position based at the Malmsbury Youth Justice Precinct but working flexibly across other Youth Justice Custodial Precincts (Parkville & Cherry Creek) where needed to respond to operational requirements.
Salary: VPS3 role: $79,122 – $96,073 per year plus super.
Function as an effective team member delivering quality and timely services to stakeholders and providing a range of administrative and support functions at the Malmsbury Youth Justice Precinct.
Responsibilities
* Organise and deliver services to meet corporate and program objectives, service delivery standards, timelines, budgetary outcomes, stakeholder expectations and young people's needs.
* Assist with procurement processes and contract management, including preparing documentation and administering contracts.
* Effectively manage office processes and oversight of records management, financial information, fleet and asset management, travel and accommodation arrangements, on‐boarding/off‐boarding staff members and ministerial correspondence.
* Coordinate and oversee day‐to‐day office administration services in accordance with departmental financial management guidelines, including accounts payable tasks such as purchasing, invoice processing, supplier engagement, financial reconciliation and purchasing card reconciliations.
* Supervise Return to Work staff, temporary staff and YES trainees, supporting their development and ensuring optimal contribution to operational outcomes.
* Maintain the Malmsbury Youth Justice Precinct asset register and the DJCS Device Management System.
* Assist with day‐to‐day operation of other administration services, including management of young people's valuables, earnings and phone system, maintenance of banking and cash management records, distribution of mail, and onboarding of YJ staff and contractors.
* Identify improvements and contribute to development of new systems and processes in collaboration with relevant subject matter experts.
* Provide support for meetings and conferences, including coordinating papers, organising venues, catering, agendas and making travel and accommodation arrangements.
* Keep accurate and complete records of work activities in accordance with legislative requirements and the department's records, information security and privacy policies.
To Be Successful In This Role, You Will Have
* Knowledge of Victorian government operating practices, processes and information systems.
* Knowledge and skills in invoice processing and accounts payable.
* Experience with contract management and accounts payable systems such as Zycus and Oracle.
* A current driver's licence (required for work across locations).
* A current employee Working with Children Check (WWCC) card, to be provided prior to commencement and maintained during employment.
