MidCoast Christian College is an expanding, Christ-centered school of over 800 students and is situated in the Greater Taree region on the beautiful mid-north coast of NSW. A vacancy has arisen for an Executive Assistant.
About the Role
The Executive Assistant to the Principal and Deputy Principal plays a pivotal role in supporting executive management. This role has significant responsibility for providing high-level administrative, organisational and secretarial support to the Principal and Deputy Principal, to assist with the smooth running of the whole College.
Acting as a key link between leadership and the College community, they uphold and model the College's values and Christian ethos and exhibit a high level of professionalism and personal judgement.
The Executive Assistant to the Principal and Deputy Principal may be required to attend College events and may need to perform some duties at times other than during the day. As part of the Administration Staff, they work collaboratively in a team environment to support and enrich their collective responsibilities. They promote a culture of mutual respect, encouragement, and work with others in a professional, ethical, and cooperative manner in line with the College values.
The successful applicant will be expected to attend professional development activities at the College during Conference weeks in January and July of the school holidays.
Responsibilities and Duties
The tasks of the Executive Assistant include but are not limited to:
* working in the closest of associations with the Principal and Deputy Principal, coordinating their diary, daily routines, and all facets of the organisation of their office;
* receiving and screening phone calls;
* providing administrative and clerical support to the Principal and Deputy Principal;
* maintaining records and all documents pertaining to the Principal and Deputy Principal;
* preparing correspondence and managing all incoming and outgoing communication from the Principal and Deputy Principal offices;
* welcoming staff and stakeholders and coordinating access to the Principal and Deputy Principal when they are unavailable;
* supporting staff and students as required;
* administering all Working with Children Checks for all staff and volunteers and ensuring compliance is carried out;
* recording/setting of agenda for Senior Executive meetings and attending, recording and distributing the minutes for these weekly meetings;
* staff communication including fortnightly Executive News and PowerPoint for staff briefings;
* organisation of staff badges, vaccinations, staff diaries, staff conference weeks, staff rosters;
* administration of staff professional development including booking of accommodation and flights;
* administration for all practicum students and work placement students;
* dealing with all subpoenas;
* creating and maintaining all staff personnel files in collaboration with the Payroll Team;
* carrying out other duties as directed.
Essential Criteria
The successful applicant must:
* be a practising Christian, active in a church and subscribe to the Statement of Faith;
* be self-directed, professional and resourceful, with strong attention to detail and high levels of accuracy;
* have the ability to organise, multitask and prioritise;
* possess excellent communication skills;
* be able to empathise with and manage the complex demands of a whole school environment;
* possess the ability to work well under the pressure of timelines;
* maintain a high level of confidentiality;
* be a positive role model for staff in terms of professional manner in all interactions with members of the College community;
* be competent in the use of Microsoft Word, Excel, Outlook, Teams and a variety of other databases.
