**About the OPPORTUNITY**

We have an exciting opportunity for an Executive Assistant to join our AUKUS team based at Flinders St, Adelaide.

We embrace flexible work arrangements at BAE Systems Australia, such as working a 9-day fortnight and/or hybrid working.

Reporting to the Head of Business Establishment, you will be responsible for acting as a strategic partner and providing high level, efficient and professional administrative support to the leadership team and ensuring the smooth running of daily operations in the office.

Key responsibilities include:

- Preparation of daily schedules, and presentation materials
- Filing, preparation, collation and distribution of documents/correspondence
- Schedule and co-ordinate internal and external meetings and conferences including catering, presentation material and logistics
- Forward planning to provide relevant preparation material/pre-brief for meetings as required
- Ensure weekly/monthly/quarterly reporting is prepared and lodged within required deadlines
- Ensure effective communication between teams
- Organisation of domestic and international travel including flights, hotels, transfers, per diem and visit requirements, ensuring it is booked in line with Company policy
- Complete monthly expenses in line with Company policy, payment of invoices as required and raising Purchase Requisitions
- Contribute to the efficiency of our business by providing personalised and timely support to executive members
- Provide ad hoc administrative support and cover sick/annual leave when required

**About YOU**
- Previous experience in an Executive Assistant or similar role
- Excellent communication skills, both written and verbal
- A lean in approach and be team orientated
- Excellent time management skills and a self-starter with high attention to detail
- Strong organisational and problem-solving skills
- Ability to work and liaise effectively with internal and external stakeholders at all levels
- A flexible and can-do attitude
- Computer literacy with intermediate to advanced knowledge of MS Suite along with SharePoint & Oracle (desirable)
- Eligibility for a Negative Vetting Level 1 Defence security clearance
