About The OPPORTUNITY
We have an exciting opportunity to join us as a Business Support Coordinator to work within our Maritime Sustainment area for a fixed term of 12 months. Reporting to the Head of Engineering, the Business Support Coordinator serves as a strategic partner and is responsible for providing high level, efficient and professional administrative support to the business to ensure the smooth functioning of organisational operations. The purpose of this position is to lead and manage complex administrative functions, participate in business initiatives as required, and maintain effective communication with internal and external stakeholders.
We embrace flexible work arrangements at BAE Systems Australia, such as working a 9-day fortnight. This role will be based out of our Osborne Shipyard office in South Australia.
Key Responsibilities Will Include
Provide high level confidential administrative support to Head of Engineering.Assist in forward planning to provide relevant preparation materials/ pre-brief for meetingsSchedule and co-ordinate both internal and external meetings and conferences including minute taking, managing actions, logistics of meeting rooms, presentations, site access and catering as requiredFiling, preparation, collation and distribution of documents/correspondenceProvide administrative support to senior leadership teamDevelop required reports in consultation with senior leadership and/or teams to consistently meet business requirements and deadlinesSupport senior leaders with critical governance systems, registers, processes and data recordsEscort and supervise within secured areas and facilitate VIP visits whilst providing professional customer service for senior leadership visitorsArrange travel, inclusive of flights, accommodation, transport and visit requirements in line with company policy limited to senior leadership and contingent workers within Combat SystemsRaise purchase orders, process invoices and reconcile credit cards in line with company policyAssist with on-boarding activities new staff membersProvide ad hoc business support as requiredEnsure on site stationery and consumable levels are maintained

Excellent communication skills required, both written and verbalA lean in approach and be team orientated withExcellent time management skills and be a motivated self-starter withHigh attention to detailOrganisational and problem-solving skillsAn ability to work and liaise effectively with internal and external stakeholders at all levelsA flexible and can do attitude Computer literacy with advanced knowledge of MS Suite along with SharePoint & Oracle (desirable)Previous experience in a similar roleEligibility to obtain and maintain Australian Government Security Clearance
