SXSW Sydney is a must-see event for creators and professionals seeking to shape and discover future trends, emerging technology, and access unrivalled networking opportunities.About the RoleThe Conference Programming Coordinator is a key member of the Conference team, supporting the Head of Conference and the Conference Team across its diverse program of talks, formats and events, including partnerships, marketing and related conference related activities and plays a key role in scheduling the conference program.RequirementsWhat does a day in the life look like?Conference Scheduling & Programming Manage conference session scheduling using internal systems (LoadIn, Monday, Event App), coordinating updates and logistics for various content tracks.
Assist in program development, content research, and speaker logistics, including scheduling and session preparation.
Coordinate events like webinars, mentor sessions, and partner programming, and support marketing tasks (speaker assets, social media content).
Communication & Liaison Be the key contact for all Loadin enquiries, working with Project Management to action all updates / changes to conference schedule or program details.
Manage conference inbox and liaise with departments (Partnerships, Marketing, Operations) for event scheduling and resources.
Serve as primary contact for schedule updates, speaker inquiries, and coordinate with project management and festival teams Administration & Reporting Prepare and manage meetings, internal reporting/presentations, and assist in managing calendars, travel, expenses (via Concur), and other conference administrative tasks.
Support speaker accreditation and conference team accreditation.
Undertake other duties as reasonably required.
Onsite Responsibilities Manage speaker registration and serve as the primary onsite contact for schedule updates.
Ensure smooth transitions between sessions, work with venue staff, and troubleshoot issues during the event.
Oversee day-of-event logistics, including schedule management and client/venue liaison.
About you Essential Skills and Experience Self-starter with strong initiative, organizational skills, and the ability to prioritize effectively.
Comfortable working in ambiguous situations and handling multiple tasks under tight deadlines.
Excellent attention to detail, problem-solving, and stakeholder management skills.
Proficient in Excel and adaptable to new platforms quickly.
Strong communication and relationship-building abilities with internal and external stakeholders.
