Accounts & Administration Officer | Transwest Fuels



The Role in a Nutshell


We don't just need a data entry clerk; we need an Administrative Engine. As our Accounts & Administration Officer, you are the guardian of accuracy for our Tamworth region operations. You'll report directly to our Financial Operations Manager, acting as their right hand in ensuring our internal systems are flawless. You are someone who finds a misplaced decimal point offensive and a messy filing system a personal challenge to be solved.

You aren't "just" doing admin—you are ensuring that every litre of fuel we move is accounted for, every supplier is paid on time, and every customer request is handled with professional polish.

In this position, you aren't just a cog in a machine; you are the person making sure the machine runs without friction. You will bridge the gap between our Retail Site Managers and our Financial Operations, ensuring that data flows cleanly from the fuel pump to the P&L. If you thrive on variety and take "100% ownership" of your desk, this is your platform.


Your Key Responsibilities

* The Financial Pulse: Take full control of the end-to-end flow of Accounts Payable and Receivable. You'll handle bank reconciliations with surgical precision, ensuring our cash position is always clear.
* Payroll & Compliance integrity: Assist with payroll support and Superannuation processing. You'll ensure our STP requirements are bulletproof and our team is looked after.
* Customer Experience Champion: You are the professional voice of Transwest Fuels for our bulk fuel and commercial card accounts. You handle inbound requests not just with "service," but with solutions.
* System Sovereignty: You will master our internal Fuel ERP system, Google Drive, and CRM tools. You don't just "use" these systems; you maintain them to a gold standard.
* Operational Support: From file management to general admin, you ensure the "boring stuff" is done so exceptionally well that it becomes a competitive advantage for the business.


About You

* Precision-Obsessed: You have proven exposure to AP/AR and high-accuracy data entry. You believe that if a job is worth doing, it's worth doing perfectly the first time.
* Tech-Fluent: You are a XERO master (highly regarded) and highly confident across the Microsoft Office Suite. You understand how data moves between systems and how to keep it clean.
* The "Grit" Factor: You have the mental agility to juggle competing tasks for retail managers and internal stakeholders without losing your cool or your attention to detail.
* Professional Integrity: You handle confidential financial data with the gravity it deserves. You are proactive—if you see a bottleneck in a process, you don't wait for permission to suggest a fix.
