Role Summary
We have an opportunity for an energetic and professional Admin Clerk / Receptionist to join our team at our West Perth office in a permanent full-time role. As the first point of contact for our business, you will be the friendly face and voice of CHC – creating a positive impression for every visitor, caller, and colleague. This role is perfect for someone who thrives in a dynamic environment and enjoys delivering exceptional customer service while managing a variety of administrative tasks that keep our office running smoothly.
* Adhere to CHC Health, Safety, Environment & Quality Policy and all other company policies.
* Maintain a high level of communication internally and externally to uphold professionalism as the first point of contact.
* Answer all calls courteously and promptly, redirect to the appropriate person, or take clear, concise messages with return contact details.
* Maintain up-to-date company telephone lists and liaise with bases to ensure accuracy.
* Manage and maintain the switchboard, including reporting faults and requesting program changes.
* Collect, record, and distribute all incoming mail; maintain daily records of outgoing mail.
* Ensure confidentiality of all sensitive company or personal information passing through reception.
* Manage local couriers, interstate and overseas airbag shipments.
* Welcome and administer all visitors to CHC, including issuing passes, providing briefings, and notifying hosts.
* Manage stock control and ordering of all stationery products required for smooth office operations.
* Maintain photocopiers and toner stock.
* Oversee housekeeping of kitchen areas and boardrooms, ensuring cleanliness and adequate stock of consumables.
* Maintain an up-to-date reception manual and supplier details.
* Keep office notice boards current with relevant information.
* Organise morning teas, lunches, and other functions as required in a cost-effective manner.
* Assist with boardroom bookings and liaise with Building Management for general office maintenance.
* Manage spare car bay bookings and ensure one bay is always available for visitors.
* Assist with travel bookings and uniform ordering.
* Perform any other duties necessary to maintain a highly proficient and welcoming reception environment.
* Excellent written and verbal communication skills.
* Team player with exceptional interpersonal and organisational skills.
* Ability to work independently with minimal supervision.
* Proficient in Microsoft Office suite.
* Strong multitasking ability and time management skills.
