Finance and contracts officer

The Finance and Contracts Officer is responsible for delivering high-quality financial management and overseeing the administration of contracts, funding agreements, and compliance processes.

This role provides critical support to the GM and wider leadership team by ensuring financial integrity, accurate reporting, and sound contract management. This varied role will work across finance, legal, and operational areas to ensure ARM Hub meets its financial obligations and contractual commitments with industry, government, and research partners.


Key responsibilities include:

* Prepare monthly financial reports covering balance sheet, profit and loss, management reports, and cashflow statements.
* Manage the general ledger, monthly accruals, journals, fixed assets, and depreciation schedules.
* Process fortnightly payroll, including superannuation and other oncosts.
* Assist with budgeting, forecasting, and monitoring expenditure against project funding.
* Prepare BAS, FBT, and year-end financial statements, ensuring compliance with accounting standards.


Contracts & Compliance

* Administer contracts, funding agreements, and procurement documentation in alignment with organisational policies.
* Maintain a central register of contracts, agreements, and obligations, ensuring timely renewals and reporting.
* Provide advice to project teams on compliance with financial and contractual obligations.
* Liaise with program staff to support negotiations and risk management.


Reporting & Support

* Assist with preparation of grant reporting and acquittals for government and research funding.
* Provide financial and contractual analysis to support decision-making by the Executive and Board.
* Proactively identify process improvements in finance and contracts management.


Team & Organisational Contribution

* Collaborate across the organisation to ensure smooth delivery of financial and contract administration.
* Support training and awareness around contract obligations and financial procedures.
* Contribute to a culture of accountability, transparency, and continuous improvement.

To ensure job flexibility the successful appointee may be required to:

* perform any other duties as nominated by the ARM Hub, consistent with the employee's skillset.


Selection criteria

* Minimum 3-5 years' experience in a finance or contracts administration role.
* Tertiary qualifications in accounting, finance, business, or a related discipline.
* Demonstrated knowledge of contract management processes, funding agreements, or procurement.
* Strong financial reporting and compliance experience, including use of financial software (e.g. Xero, MYOB Advanced, or similar).
* Excellent organisational skills with the ability to manage multiple deadlines and competing priorities.
* Strong interpersonal and written communication skills.
* Experience working within a not-for-profit, research, or government-funded organisation.
* Knowledge of grant funding and reporting requirements.
* Working towards CA/CPA certification.
* Familiarity with Australian contract law and compliance frameworks.


Remuneration and benefits

The position has an annual salary range of $90,000 and $100,000, plus 12% superannuation.
