Service & Repairs Coordinator – Full Time
Dental United Group is an Australian leader specialising in tailored sales, maintenance, and repair solutions for the Dental Industry.
We pride ourselves on proactive maintenance programs and swift-response emergency breakdown repairs, supporting a wide range of dental equipment including treatment centres, suction motors, compressors, autoclaves, X-rays, and more.
Our team is growing, and we are now seeking a full-time Service & Repairs Coordinator to join our Melbourne office.
The Opportunity
This is an exciting, fast-paced administrative role at the heart of our service operations.
As the first point of contact for clients, you will play a key part in ensuring smooth communication between customers, technicians, and our operations team.
We're looking for someone who is organised, efficient, friendly, and capable of managing multiple tasks at once.
Knowledge of dental equipment or experience within a technical service industry is advantageous—but not essential, as training will be provided.
Good time management and clear communication skills are essential.
Your success in this role will rely on your attention to detail, customer service strength, and ability to support a team while working independently when needed.
Key Responsibilities
Answering incoming phone calls and assisting clients with enquiries
Booking repairs, emergency breakdowns, and routine service appointments
Scheduling annual preventative maintenance for clients
Assessing client equipment and identifying future servicing or business needs
Preparing and sending basic quotes
Liaising with technicians and providing support while they are on-site
Uploading service reports, updating job notes, and progressing jobs through to "ready to invoice"
Assisting the Operations Manager with organising parts, preparing items for technician service days, and general logistics
Maintaining accurate records of assets, customer details, and service history
About You
Strong communication and customer service skills
Use of Simpro Software advantageous but not essential.
Previous admin or service coordination experience (highly regarded)
Highly organised with excellent attention to detail
Confident multitasking in a fast-moving environment
A friendly, professional, and proactive approach
Knowledge of dental or technical equipment (advantageous but not required)
Strong computer skills and ability to learn new systems quickly
Ability to work both independently and as part of a supportive team
