About the office The University Secretary’s Office promotes and supports good governance and decision-making across the University and supports statutory, regulatory and compliance obligations. About the role T his role delivers high ‑ quality secretariat, governance, and administrative support to the Academic Council and its Executive, as well as to other senior committees and sub ‑ committees of the University. Key Responsibilities Act as Executive Officer to the Academic Council, its Executive, and other committees as directed, including coordinating meetings, preparing and distributing papers, tracking actions, managing communication flow, supporting annual work schedules, and coordinating committee election processes. Provide governance advice and support to Committee Chairs, Executive Officers, and senior staff on Academic Council functions. Deliver administrative support across the Secretariat as required, including meeting invitations, preparation of annual meeting schedules, and advising on Zoom protocols and online meeting security. Research, prepare, and update reports and documentation, including governance frameworks and policy documents. Provide administrative and operational support across portfolio activities through collaboration with key stakeholders and other business areas. Maintain effective systems for document control and records management while contributing as a collaborative team member, supporting continuous improvement, streamlined processes, and high-quality executive support services. Qualifications, skills & experience A bachelor’s degree in a relevant discipline and/or equivalent relevant professional experience. Demonstrated administrative, secretariat, and/or governance experience supporting committees or executive functions within a complex organisation, preferably in a university setting or other relevant context. Sound knowledge/demonstrated experience in governance processes. Highly developed written and verbal communication skills with the ability to build strong relationships, engage stakeholders, and foster collaboration. Proven ability to manage multiple concurrent tasks in a fast ‑ paced environment, supported by strong time management skills and attention to detail, including preparation of high ‑ quality documentation. Demonstrated proficiency in the Microsoft Office suite, particularly Excel, with experience in data collation and reporting, including financial tracking.
