Primary objective
The Administration officer is responsible for providing a high level of administration support and secretarial services to the Director
of Nursing. The position will also develop efficient systems for a consolidated administrative approach for the Clinical Governance
Team.
Context statement
This position is integral to the day-to-day operations and high-level support to the Director of Nursing for Top End, Big Rivers and
East Arnhem regions, the role is required to provide high level administration assistance. The role requires a clear understanding of
Primary Health Care services and pathways to ensure seamless service delivery within the regions. Have the ability to hold a
corporate credit card including experience in reconciling transactions. Ability to work in partnership within all aspects of
government, possess high level communication skills in both written and oral. This position also supports all members of the clinical
governance team by providing administrative support and relief.
Key duties and responsibilities
1. Provide high level, confidential secretarial and administrative support and secretarial services to the Director of Nursing/ Deputy
General Manager and team, maintaining a high level of quality control, timeliness with respect to Ministerial and departmental
correspondence.
1. Undertake non-complex projects as required under the direction of the Director of Nursing.
2. Maintain the Director of Nursing Appointment diary, arrange meetings and address matters coming through the office
expeditiously and within the required timeframes.
4. Establish and maintain administrative control systems to record and monitor the flow of incoming and outgoing correspondence,
ensuring the correct presentation of documents, and ensuring deadlines are met.
5. Responsible for the management and acquittal of corporate credit card transactions as per procurement policies and procedures
including managing internal staff travel.
6. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken
in order to ensure high quality, safe services, and workplaces.
Selection criteria
Essential
1. Demonstrated experience in providing high level secretarial and administrative support, including records management and
minute taking.
2. Well-developed organisation skills with experience in undertaking non-complex project management.
3. Sound ability to work under pressure and complete tasks within required timeframes.
4. High standard of oral and written communication skills with a high level of attention to detail in order to prepare and process
correspondence, reports, and other business documentation.
5. High degree of professional integrity and ability to maintain confidentiality.
6. Sound knowledge of word processing and computer programs, particularly data management and software applications such
as Microsoft Office, Outlook, PowerPoint, Excel, and Visio.
