 
        
        Event Manager - Chadstone role at Vicinity Centres
Role purpose
The Event Manager will coordinate and manage Chadstone's Christmas Festival program, taking responsibility for the quality of the experience and the operations of the in-centre program.
Responsibilities 
- Training & Onboarding
- Assist with the delivery of staff training on 31 October
- Ensure all team members are confident in their roles before the event begins and provide continued training throughout the program.
- Team Supervision & Engagement
- Lead and supervise all Santa Photography staff during operational hours.
- Ensure staff:
- Engage warmly with guests.
- Offer to capture photos of guests as they wait in line.
- Maintain professional posture (e.g. no leaning on lecterns, no group chatting).
- Wear the correct uniform and maintain a neat appearance.
- Are familiar with key store locations within Chadstone.
- Have downloaded and can use the Chadstone App for guest assistance.
- Communication
- Maintain consistent team updates via Whats App (process changes, reminders, etc.).
- Oversee communication between staff, the photography team, and Santas.
- VIP & Influencer Coordination
- Ensure the photography team is informed daily of any VIP or influencer bookings.
- Personally ensure VIPs are welcomed and sessions run smoothly.
- Stock & Equipment
- Ensure staff have the necessary supplies including iPad, survey cards, chargers, coffee cards, Centre Management cards, radio etc.
- Maintain a clean green room and coordinate cleaning as required.
- Guest Support & Problem Solving
- Support the Marketing and Guest Experience teams with guest issues (e.g. gallery access).
- Work with the photography team to resolve issues quickly and ensure gallery delivery.
- Navigate internal Vicinity systems such as Vivenu and Resolve to track and manage gallery issues.
- Support the Marketing team with signage as required.
- Maintain a log of incident reports and escalate to security or Marketing as required. An incident report sheet will be provided.
- About You
- Experience managing or coordinating teams in events, retail, or customer service.
- Strong communication and interpersonal skills.
- Highly organised and comfortable working in a fast-paced environment.
- Confident using digital tools (apps, messaging platforms, internal systems). Training will be provided.
- Friendly, proactive, and a team player.
- Availability for all training and event dates listed above is essential.
