Position Overview
The Office Manager will be responsible for coordinating and delivering office services to ensure smooth day-to-day operations, efficient resource allocation, and compliance with organisational procedures. The role requires strong administrative leadership and the ability to liaise effectively with internal teams and external stakeholders.
Key Responsibilities
* Assist with planning, reviewing, and maintaining office service standards, procedures, and operational priorities.
* Allocate office resources, including service providers, workspace, equipment, and workflow needs.
* Supervise administrative service providers, consultants, and staff, assign daily duties, and monitor performance to maintain productivity.
* Maintain office records, internal accounts, documentation, and general administrative systems.
* Liaise with accountants, consultants, and other professionals to coordinate work activities and resolve operational issues.
* Ensure office equipment, supplies, and systems are maintained and available for use.
* Monitor compliance with workplace health and safety requirements.
* Ensure all office practices comply with relevant legislation, company policies, and governance procedures.
* Coordinate HR-related duties, including expansion plan, recruitment, onboarding, training, performance management, payroll support, and staff scheduling.
* Coordinate the new business division, which will offer office management and HR services to our current and new clients.
Skills & Experience Required
* Previous experience in office management, administrative coordination or business operations.
* Strong organisational and time‑management skills.
* Ability to supervise staff and coordinate office workflows.
* Excellent interpersonal skills.
* Ability to work with professionals and clients from different cultural backgrounds.
* Understanding of WHS obligations and office compliance requirements.
* Fluency in Portuguese and Spanish is essential.
* Experience in a professional services or accounting environment is desirable but not mandatory.
