**Job description**:
**The Chance**
We are currently seeking an experienced Executive Assistant to join our State Government client starting August.
**The Role**
The Executive Assistant is responsible for managing the Executives' diaries and correspondence, organising meetings and providing agendas and minutes, coordinating travel arrangements, and undertaking other tasks as directed.
The Executive Assistant also contributes to accurate records management.
**Key responsibilities include but are not limited to**:
**Provide confidential clerical and support services**
- Screening calls and responding to enquiries both written and verbal.
- Managing the Executives' diaries and coordinating appointments and related arrangements.
- Tracking correspondence to ensure timely responses across the agency.
- Preparing agendas and minutes for meetings and organising meeting rooms.
- Coordinating travel arrangements.
- Drafting correspondence, procedures and other documentation.
- Assisting with the reception service for visitors, including being a back-up during periods of leave.
**Records management in accordance with the State Records Act 1997**
- Assisting in the administration of records management, including accurate filing and file creation in Content Manager.
- Arranging for the retrieval of records from an approved storage provider.
- Sentencing and disposing of records in accordance with General Disposal Schedules and the Agency Records Disposal Schedule approved by State Records.
**About You**
In addition, you will demonstrate the following skills and experience:
- Demonstrated experience in a similar role providing secretarial support and organising meetings.
- Experience in the preparation of written material including letters, minutes and reports.
- Experience in using records management systems which capture and/or track official records
- Excellent organisational and time management skills, including ability to adapt to changing day-to-day demands and determine priorities.
- Ability to effectively communicate with a wide range of people.
- Ability to recognise sensitive issues, handle them diplomatically and to exercise discretion when dealing with issues of a sensitive and/or confidential nature.
- Proven ability to produce high quality work in an extremely busy and high activity environment.
