We are on the hunt for a workshop administrator to join our team.

A workshop administrator typically handles the day‐to‐day administrative and coordination tasks that keep a workshop running smoothly. This includes managing bookings and scheduling for servicing and repairs, coordinating with technicians and customers, processing invoices and payments, maintaining records and parts inventory, and handling customer enquiries. You'll often be the first point of contact, so strong communication and organisational skills are essential.

The role suits someone who enjoys being busy in a hands‐on environment, can juggle multiple priorities, and doesn't mind the mix of office work and interaction with both the workshop floor and customers.

Job Summary

FULL TIME - PERMANENT POSITION. We are looking for someone who is able to work 5 days per week, from 8:00 a.m. to 5:00 p.m. with a one‐hour unpaid lunch break, Monday to Friday.

Job Responsibilities

* Schedule workshop jobs to keep technicians busy throughout the day.
* Keep customers up to date via phone, email, and text.
* Support workshop staff to achieve their full potential.
* Act as the key liaison between the workshop, spare parts advisors, and sales team.
* Use diagrams and schematics to locate spare parts and assist mechanics with administrative tasks.
* Order and collect parts from local and online suppliers and process items into our POS system and price sheet.
* Invoice jobs to customers.
* Process warranty claims with our suppliers.
* Process insurance claims and repair claims.
* Manage workshop safety, cleanliness, equipment servicing, and compliance requirements.
* Conduct toolbox meetings and support team development.

Qualifications

* Some mechanical and general boating knowledge.
* Experience in using spare parts software and schematics.
* Experience in administration and/or retail.
* A customer‐first attitude.
* A valid driver's licence.
* Workshop software experience (not required, but desirable).
* A valid forklift ticket (not required, but desirable).
* A skipper's ticket (not required, but desirable).

Important Job Details

Unfortunately this role does not cater for school hours, as we require someone to be on site from opening to closing. Boats are often dropped off as soon as we open (or before), and some jobs must be invoiced before collection and closing at 5:00 p.m. Our customers may be waiting to open in the morning and to complete their invoice in the afternoon.

This is a full‐time, permanent position. Compensation is by negotiation. We are looking for an addition to our team who has exceptional skills to ensure things run smoothly for our workshop.
