Overview
The Timetabling Coordinator oversees the planning and management of class and exam schedules across all university campuses. They work closely with faculties, student services, IT, and other teams to create timetables based on student numbers, course needs, teacher availability, and room space. The Timetabling Coordinator is responsible for the overall operational planning and delivery of timetabling services across all campuses of the University.

Base pay range : A$99,474.00/yr - A$99,474.00/yr
Location : Sydney or Fremantle campus

Key Responsibilities
* Timetable & Enrolment Support - Assist in creating and maintaining the university's annual timetable and enrolment schedules, ensuring alignment with the academic calendar and student preferences.
* Admissions & Course Coordination - Support admissions processes by ensuring course offerings match enrolment and scheduling needs, while following governance requirements.
* Stakeholder Collaboration - Work closely with faculties, schools, academics, and admin teams to resolve scheduling issues and optimise the use of teaching spaces.
* Systems & Data Integrity - Maintain and improve scheduling systems and data accuracy, ensuring smooth integration and effective class allocation.
* Reporting, Training & Continuous Improvement - Monitor class sizes, generate reports, deliver training, and contribute to ongoing improvements in systems and processes.
* Customer Service & Administration - Provide excellent service to students and staff, assist with records and enquiries, and perform additional administrative tasks as required.
Qualifications, skills & experience
* Completion of a degree with subsequent relevant work experience, or an equivalent combination of relevant experience and/or education/training.
* Experience leading a hybrid team working with competing priorities to deliver exceptional outcomes (Desirable).
* Proven working knowledge of timetabling, preferably in tertiary or other education sectors.
* Experience using PeopleSoft Campus Solutions and timetabling applications such as CELCAT, Allocate+ (Desirable).
* Demonstrated expertise using large scale networked information systems, databases, timetabling systems, student allocation systems, spreadsheets and word-processing software including data extraction and report presentation and the ability to maintain accurate records.
* Ability to collaborate across multifunctional teams, providing a high level and responsive service.
* Demonstrated high level analytical and problem-solving skills including exceptional attention to detail.
* Demonstrated ability to meet deadlines, organise and prioritise work in collaboration with other staff.
* Demonstrate ability to exercise sound judgment, initiative, diplomacy, tact and discretion as well as proven experience handling sensitive and personal information in a confidential and appropriate manner.
