ABOUT THE ROLE:

As part of the Tony White Group, Coffs Harbour Toyota & Hyundai is seeking a reliable, detail-focused Administration Officer to join our Service team on a full-time basis. This role is ideal for someone who enjoys staying organised, supporting daily workshop operations, and ensuring documentation is processed accurately and efficiently.

You will play a key role in the smooth operation of our Pre-Delivery Department, with responsibilities including job card closures, invoice processing, coordinating retail bookings, and maintaining accurate repair order records.

KEY RESPONSIBILITIES:

* Close job cards accurately and promptly upon completion of work
* Scan, process, and upload supplier invoices, receipts, and sublet invoices into internal systems
* Take bookings for retail service work, ensuring clear and effective communication with customers and technicians
* Monitor and review open Repair Order (RO) reports, following up on outstanding items
* Maintain well-organised digital and physical records
* Provide general administrative support to the Pre-Delivery Manager and workshop team
* Provide clear, comprehensive, and accurate information to the workshop team

REQUIREMENTS:

* Strong attention to detail with a high level of accuracy in data entry
* Excellent organisational and time-management skills
* Clear, professional verbal and written communication skills
* Ability to work effectively in a fast-paced service environment
* Confident basic computer skills and willingness to learn new systems
* A proactive, positive attitude with a strong desire to learn and develop
* Previous experience within an automotive dealership will be highly regarded
* Friendly, professional demeanor with a strong team-first mindset
