We are working with a privately owned group of companies seeking an experienced and highly organised Property & Corporate Administration Manager to oversee end‐to‐end operational, financial, and compliance responsibilities across a diverse portfolio. This is a hands‐on, autonomous role suited to an individual with strong commercial acumen, exceptional attention to detail, and the ability to manage both corporate governance and property‐related functions. You will act as the central point of coordination for shareholders, tenants, real estate agents, maintenance providers, and government bodies.
Corporate Governance & Compliance
* Review and confirm annual ASIC compliance requirements
* Prepare, review and lodge quarterly BAS statements
* Prepare and review company financial statements (bank requirements, internal reviews, and year‐end)
* Coordinate year‐end reporting and liaise with external accountants
* Review all shareholder year‐end financial reports and tax returns prior to ATO lodgement
* Act as the official point of contact for all government departments
* Complete monthly bookkeeping, including accounts receivable, rental income, expense entry, journals and reconciliations
* Provide monthly bank statements and regular financial updates to shareholders
* Manage accounts payable and arrange supplier payments
* Prepare financial information for banks and loan providers (annual reviews, refinances, and special requests)
* Source quotes from financial institutions and prepare loan‐related documentation
Property & Tenant Management
* Monitor tenant rental payments and liaise with real estate agents regarding arrears, reimbursements, inspections and compliance
* Communicate with tenants regarding requirements, issues, or concerns
* Negotiate new leases and prepare all associated legal, financial and REINSW documentation
* Update and maintain tenancy schedules
Repairs, Maintenance & Site Oversight
* Conduct twice‐yearly site visits per property, including inspections and caretaker meetings
* Coordinate maintenance requirements with onsite personnel and external contractors
* Obtain quotes and arrange works outside agent duties (roofing, fencing, plumbing, electrical, etc.)
* Prepare Letters of Request to shareholders for repair/maintenance costs exceeding $5,000
* Manage ongoing repairs and maintenance such as skylights, fences, gates, window latches and tree removal
Operations & Stakeholder Communication
* Prepare bi‐annual shareholder letters (January & July)
* Provide secure file storage for all KBN records
* Liaise throughout the year with real estate agents, solicitors, tenants, accountants, banks, government bodies (including OSR NSW & ASIC), and other stakeholders
* Manage general day‐to‐day operational requirements across the business
