We are seeking a highly organised and professional Executive Assistant to the CEO to join our Oceania team. This is a pivotal role providing executive support, business coordination and reporting across the organisation.
Working closely with the CEO and senior leadership team, you will play a key role in reporting requirements, national business initiatives and ensuring executive priorities are delivered efficiently.
The Role
This position provides high-level operational and administrative support to the CEO while coordinating reporting, projects and business activities across the organisation.
You will work closely with senior leaders, internal departments and global stakeholders to ensure the smooth delivery of executive functions and business priorities.
Key Responsibilities
* Provide confidential executive support to the CEO and senior leadership team
* Prepare reports, presentations, board papers and meeting documentation
* Coordinate executive meetings and record minutes and action items
* Prepare weekly, monthly and ad-hoc management reports
* Coordinate office administration, facilities and supplier relationships
* Manage executive calendars, travel arrangements and correspondence
* Organise meetings, conferences, travel and company events
* Coordinate national projects and business initiatives across departments
* Track project timelines, actions and deliverables
* Assist with marketing materials, internal communications and presentations
* Support improvements to reporting systems, workflows and processes
About You
You are a proactive, highly organised professional who thrives in a fast-paced corporate environment and is confident supporting senior leadership.
You will bring:
* 5+ years' experience in an Executive Assistant or senior administrative role
* Experience supporting senior executives or leadership teams
* Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook)
* Strong reporting, coordination and organisational skills
* Excellent written communication and presentation ability
* High levels of professionalism, discretion and confidentiality
* Ability to manage multiple priorities and meet deadlines
* Experience within logistics, shipping, transport or corporate environments highly regarded
