We are seeking a proactive and highly organised Executive Support Officer to provide high-level administrative and executive support to the Director Assets and the broader Assets Directorate.
About the role
Reporting to the Director – Assets, this role plays a critical part in supporting the effective operation of the Directorate in a fast‑paced and politically sensitive environment. You will coordinate a wide range of executive support, administrative, project and process improvement activities, while acting as a key point of contact for internal and external stakeholders.
This is a varied and rewarding role suited to someone who can anticipate needs, manage competing priorities, exercise sound judgement and deliver outcomes with professionalism and discretion.
Key responsibilities
* Providing high‑level executive and administrative support to the Director and Assets Directorate, including diary management, correspondence, meeting coordination and document preparation
* Acting as a key liaison for enquiries, elected member requests and stakeholder communications
* Preparing and reviewing agendas, reports, presentations, business cases and other key City documents
* Coordinating Directorate contributions to cross‑organisational initiatives and supporting small‑scale projects
* Monitoring workflows, prioritising tasks and managing information to support efficient service delivery
* Undertaking research and data analysis to support decision‑making and strategic initiatives
* Maintaining registers, databases and systems to ensure data accuracy and compliance
* Supporting budget monitoring, purchasing and routine financial transactions
* Contributing to business improvement initiatives and mentoring staff in administrative systems and processes
About you
You are a confident and capable executive support professional who thrives in a dynamic environment and enjoys working closely with senior leaders. You bring strong organisational skills, a high level of attention to detail and the ability to navigate complex stakeholder relationships with professionalism and tact.
To be successful, you will have:
* A qualification in Business Administration or a related discipline, or equivalent experience
* Demonstrated experience providing executive‑level administrative support in a complex organisation
* Strong organisational and time management skills with the ability to manage competing priorities
* Advanced written and verbal communication skills
* High‑level customer service and stakeholder engagement skills
* Sound judgement, discretion and political awareness
* Experience using information systems and digital tools to improve efficiency and data integrity
* Knowledge of governance, compliance and workplace health and safety principles
