Job Summary:

We are seeking a dedicated and detail-oriented Project Assistant to join our dynamic team. The Project Assistant will play a vital role in supporting the Project Manager in recording business requests and issues, reporting on project progress, and ensuring the timely delivery of products and functions. The ideal candidate will possess excellent organizational skills, strong communication abilities, and a proactive approach to problem-solving.

Key Responsibilities:

* Accurately document business requests and issues raised by stakeholders.
* Maintain an organized and up-to-date log of all business requests and issues.
* Provide regular updates to the Project Manager on the status of business requests, issues, and project progress.
* Assist in the preparation of project documentation, meeting minutes, and presentations.
* Track the progress of product and function deliveries to ensure deadlines are met.
* Follow up with team members and stakeholders on the status of tasks and deliverables.
* Proactively identify potential delays and work with the team to develop mitigation strategies.
* Monitor the resolution of issues and escalate unresolved issues to the Project Manager as needed. Coordinate with relevant teams to ensure timely resolution of issues.
* Document and track the progress of issue resolutions.
* Assist in scheduling and organizing project meetings, including preparing agendas and distributing meeting notes.
* Help coordinate communication between project team members and stakeholders.
* Contribute to the development and implementation of project management processes and tools.

Qualifications:

* Bachelor's degree in Business Administration, Project Management, or a related field.
* Proven experience as a Project Assistant, Project Coordinator, or in a similar role.
* Experience in recording and managing business requests and issues is highly desirable.
* Strong organizational and multitasking abilities.
* Excellent written and verbal communication skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software (e.g., MS Project, Trello, Asana).
* Ability to work independently and as part of a team.
* Detail-oriented with strong analytical and problem-solving skills.
* Ideally based in Melbourne.
* Fluency in Spanish is mandatory.
* We're looking for candidates with strong knowledge of FX and CFD products or experience in the financial services industry.
