We are looking for a confident, client-focused administrator who loves helping people while keeping things running smoothly. We would love for you to join our dedicated team in making a real difference in the lives of children and families across the Central West.
At Wholechild Specialists, we provide neurodevelopmental assessments and therapies through a team of psychologists, occupational therapists, speech therapists, educators, and other professionals — all supported by a capable and caring admin team.
We're now seeking an Administration Officer to join our Orange-based clinic.

About the Role
This is a dynamic and rewarding position that combines front-of-house reception with behind-the-scenes coordination and client relationship management.
You'll be the friendly first point of contact for families — welcoming them to our service, answering enquiries, and guiding them through the onboarding process with warmth and professionalism. You'll also play a key role in ensuring appointments, reports, and communications flow seamlessly between our clinicians, schools, and families.
Key duties include:
* Greeting and assisting clients and families with care and professionalism
* Managing new enquiries, converting leads to bookings, and supporting client retention
* Booking and coordinating appointments across multiple clinicians' diaries
* Handling referrals, intake forms, and service agreements
* Preparing reports, GP letters, and NDIS documentation
* Managing funding renewals and service updates in Halaxy
* Supporting assessments, school visits, and group programs
* General admin: scanning, printing, maintaining records

About You
You're organised, approachable, and thrive in a busy environment where people and process matter equally. You enjoy connecting with clients and ensuring every interaction feels supported, while keeping operations running smoothly in the background.
Highly organised and detail-focused
Friendly, confident communicator — both in person and over the phone
Strong admin and customer service skills
Able to multitask and stay calm in a fast-paced clinic
Experience in health, education, or NDIS admin (preferred)
Comfortable guiding clients through services, bookings and funding options
Team player with a flexible, can-do attitude
