Executive support/marketing operations coordinator

The Role:

This is a combined Marketing Coordinator / EA role specifically designed for a start-up environment. The role will be responsible for coordinating early-stage operational activity, and will play a key role in marketing, communications, digital content, and brand development for C1, in addition to providing high-level executive support to the CEO and COO when required.

The successful candidate will act as an anchor for the new business—organising, preparing, designing and executing tasks that support efficient operations and a compelling public presence as well as supporting senior executives.

This is a full-time role working from our Sydney Office.

Key Responsibilities:

Marketing, Content and Design Support

* Assist in the creation of C1's marketing assets including pitch decks, capability statements, EDMs, investor packs.
* Coordinate the production of digital content, including social media posts, LinkedIn announcements, graphics, infographics and template designs.
* Support content updates across all company websites.

* Work closely with external creative suppliers, research firms and media consultants.

Executive Support and Coordination

* Manage the CEO's and COO's calendars, meetings, briefings, document preparation and board-related coordination.
* Prepare agendas, structured meeting notes and action logs for PCG meetings, stakeholder meetings, and Board interactions (aligned to the governance frameworks in the Business Plan).
* Maintain task tracking systems, follow up actions, and support preparation of monthly reporting packs.

Operational and Start-Up Coordination

* Assist in establishing office arrangements, systems onboarding, IT setup, CRM data migration, and procurement.
* Maintain registers (Issues Register, Risk Register, Action Tracker) and assist with early-stage process documentation.
* Support internal compliance processes including document control, version management, and ensuring all materials follow AFSL/ACL approval workflows.
* Coordinate travel, logistics, events and stakeholder engagements across government, CHPs, developers, lenders, and peak bodies.

Stakeholder Engagement Support

* Draft emails, letters, briefing notes and presentations for the CEO, including government and investor correspondence.
* Manage stakeholder lists, contact databases and distribution groups.
* Assist in preparation of engagement materials for CHPs, government, investors, councils and developers.

Preferred Background and Experience:

* Prior experience as an Executive Assistant, Team Coordinator, Office Manager or Marketing Coordinator in a professional services, property, finance or start-up environment.
* Strong design competency using tools such as Canva, Adobe Creative Cloud or similar.
* Demonstrated capability in preparing high-quality presentations, reports and communications.
* Well-developed organisational and project coordination skills.
* Ability to operate with judgement, discretion and maturity in a small, high-trust team environment.
