As our organisation continues to grow, we are seeking an experienced NDIS Plan Management Specialist who combines strong stakeholder communication skills with sound financial and bookkeeping knowledge.
The Role
This role requires someone who understands both the NDIS environment and financial administration. This is not a purely administrative role. The successful applicant must be confident interpreting NDIS guidelines, identifying issues, and guiding both stakeholders and internal staff to ensure funding is managed correctly and in accordance with NDIS rules.
You will support participants and stakeholders by overseeing the financial management of NDIS plans, ensuring invoices and claims are processed correctly, and assisting participants to understand how their funding can be used within NDIS rules.
The role involves regular liaison with NDIS participants, families, support coordinators, service providers, and the NDIS, particularly when addressing payment queries, funding issues, compliance matters, or resolving discrepancies between invoices, service bookings, and claims.
Key Responsibilities
Plan Management Oversight and Financial Administration
* Overseeing the financial management of NDIS participant plans, including monitoring budgets and ensuring funding is used in accordance with NDIS guidelines.
* Providing oversight of invoice and claim processing to ensure accuracy, compliance, and timely payments. While a dedicated team processes invoices, the role requires a strong understanding of the invoicing process in order to guide staff, resolve issues, and ensure compliance with NDIS requirements.
* Reviewing invoices and payment requests to ensure they meet NDIS Pricing Arrangements and Support Catalogue requirements.
* Investigating discrepancies between invoices, service bookings, and claims and assisting the team to resolve issues effectively.
* Monitoring participant budgets and identifying potential funding issues before they arise.
Participant and Stakeholder Support
* Acting as a key point of contact for participants, families, support coordinators, and service providers.
* Assisting participants to understand their NDIS funding and how it can be used within NDIS guidelines.
* Responding to enquiries regarding invoices, payments, budgets, and NDIS claiming requirements.
* Supporting participants to maintain appropriate oversight of their funding and services.
Provider Coordination
* Liaising with service providers regarding invoices, documentation requirements, and payment queries.
* Ensuring invoices submitted by providers meet NDIS claiming requirements.
* Assisting with resolving billing issues and payment discrepancies.
Compliance and Quality
* Ensuring all processes and documentation comply with NDIS rules and internal policies.
* Maintaining accurate records and documentation across systems.
* Supporting internal compliance and audit processes where required.
Skills and Experience
We are looking for someone who can confidently operate within both the NDIS and financial administration environments.
* Previous experience working within the NDIS sector.
* Experience understanding and explaining NDIS rules, funding categories, and claiming requirements to stakeholders.
* Strong customer service and stakeholder communication skills.
* Excellent written and verbal English communication skills.
* High attention to detail and strong organisational skills.
* Ability to work independently and manage multiple responsibilities in a fast-paced environment.
Financial and Technical Skills
* Minimum qualification of Certificate IV in Bookkeeping.
* Experience working with accounting software such as Xero or similar systems.
* Experience using NDIS portals including PRODA.
* Experience with plan management systems such as Careview or similar platforms.
* Strong Microsoft 365 skills including Excel.
Highly Desirable
* Experience working as a NDIS Plan Manager or Plan Management Officer.
* Experience in disability services, finance administration, or support coordination.
* Strong understanding of the NDIS Pricing Arrangements and Support Catalogue.
Communication and Interpretation Skills (Essential)
This role requires strong English language proficiency and the ability to accurately understand and interpret NDIS guidelines and financial documentation.
