Position Title: Service Manager (Virtual Assistant)
Employment Type: Full-Time (40 hours per week)
Work Arrangement: Remote (Philippines-based)

ROLE PURPOSE
The Service Manager (VA) supports day‐to‐day operations, including staff rostering, shift changes, documentation, reporting, and stakeholder communication. No prior NDIS knowledge is required; training will be provided.
Key Responsibilities
* Staff Operations & Rostering – manage daily rosters and shift changes, handle cancellations and urgent replacements, track staff availability and leave.
* Participant, Family & Stakeholder Communication – maintain relationships, communicate updates to Support Coordinators, prepare and send monthly participant reports.
* Documentation & Compliance – ensure staff and participant files are complete and current, identify missing documents and follow up completion, maintain accurate digital records.
* Meetings & Reporting – coordinate staff meetings, prepare agendas, minutes, and action items, produce weekly and monthly reports for the Director.
* Problem Solving – identify operational risks, propose solutions, and appropriately escalates critical issues.
Essential
REQUIRED SKILLS
* Medical field background (nurse/psychologist, vet, etc.) either as educational background or former employment.
* Experience using Zoho One.
* Experience using ShiftCare or similar systems.
* Strong organisational and time management skills.
* Excellent written and verbal English.
* Strong problem‐solving skills.
* Proficient in Microsoft Word and Excel.
