Executive Assistant to Managing Director – Prestige Real Estate Agency
Location: Bundall, Gold Coast | Full-Time | Real Estate Registration Required
About the Role
We seek a polished, proactive, highly organised Executive Assistant (EA) with recent real estate experience to support the Managing Director. This is a unique opportunity to step into a pivotal role, where you'll act as a strategic partner, ensuring the Principal's daily operations run smoothly while enabling them to focus on high-level relationships and complex transactions.
You'll be entrusted with a wide range of executive and client-facing responsibilities, and work with a high degree of autonomy, trust, and discretion.
Key Responsibilities
Executive Support
* Manage the Principal's calendar, appointments, emails, and travel
* Draft and proofread correspondence, proposals, and presentations
* Track key deadlines and compliance dates
* Prioritise and manage daily tasks to maximise the Principal's productivity
* Handle all matters with the utmost confidentiality
Client & Stakeholder Liaison
* Act as a first point of contact for clients, partners, and suppliers
* Coordinate internal and external communications
* Prepare meeting briefs, agendas, and client updates
* Build and maintain strong, professional relationships
Support
* Assist with property listings, signage, and marketing coordination
* Manage documents, contracts, and file systems
* Liaise with photographers, signage companies, conveyancers, and trades
Marketing & Social Media Support (if relevant)
* Experience in content & posting for the Directors social pages
* Help update CRM, website, and email marketing campaigns
About You
We're seeking someone who brings professionalism, initiative, attention to detail, and a solutions-focused mindset.
You'll have:
* Minimum 3 years' experience as an Executive Assistant in Real Estate
* Previous experience in real estate a MUST
* Real Estate Registration (essential)
* Strong organisational and time management skills
* Outstanding communication and interpersonal abilities
* Discretion and sound judgement when handling sensitive information
* Tech skills across Microsoft Office, Canva, Agentbox, RP Data, Pricefinder
