As the Executive Assistant you will provide high-level executive administration support to the Executive Director of Project Development and their leadership team, ensuring timely, accurate, and confidential execution of tasks. You will support project coordination and assist in the functioning of day-to-day operations.
Key responsibilities
Managing competing priorities and delegating Director commitments while delivering consistently high levels of support, meeting deadlines, and maintaining discretion and confidentiality.
Building relationships by liaising with Government Agencies, Stakeholders, and other staff on behalf of the Director – specifically within the Inland Rail Executive Leadership Team and wider ARTC Group.
Investigating, analysing, and collating information on key initiatives, ensuring stakeholders are briefed and informed.
Using independent judgement in the Director's absence to prioritise and action important matters promptly.
Preparing and distributing correspondence, agendas, minutes, presentations, and reports on behalf of the Director with accuracy and efficiency.
Providing efficient support by organising meetings, events, and arranging complex travel itineraries.
Managing incoming correspondence including emails, briefs, letters, and appointment requests.
Ensuring all reports, presentations, and correspondence for the Director and the unit are accurate and professionally presented for maximum efficiency.
About You
You will need to be highly organised, discreet, proactive, and an exceptional communicator able to manage competing priorities in a fast-paced environment. You will demonstrate good judgement, be a people person, and thrive on delivering consistently high standards.
Displayed success in a similar Executive Assistant role in a large organisation.
Professionalism, discretion, and integrity.
Excellent written and verbal communication skills.
Self-starter with initiative and attention to detail.
Effective stakeholder engagement and influencing skills.
Ability to identify, prioritise, and action problems with awareness of delegated authority.
Operates efficiently across project and organisational processes and systems.

Resilience and a proactive approach to work.
Certificate/Diploma in Administration or related field.
Experience at Executive Leadership Team level within a government department, business enterprise, or government-owned corporation.
